Client Overview

The client is a US-based B2B Oracle and AI solutions partner. It offers managed services and consulting across Oracle Cloud, PeopleSoft, E-Business Suite, Ellucian Banner, and other services.

In recent years, the client moved from a cloud-first firm to an AI-first one. It now builds generative AI products that sit on top of the systems its customers already run, so they get modern automation without replacing core software.

The client sells to a specific and technical audience: enterprises, higher education institutions, and healthcare organizations that run Oracle ERP systems. These buyers do careful research before they ever fill out a form. They read, compare, and increasingly ask AI tools for answers.

And as the search landscape is evolving, the client is required to implement strategies to stay visible on AI. So, TRooInbound started implementing AI search optimization, along with ongoing engagement in different services.

Their Challenges

Their Challenges-End-to-End Digital Marketing

Over a multi-year partnership, the client’s needs kept growing, and the search landscape kept shifting. A few clear challenges shaped the work.

Search was changing:

More B2B buyers now ask AI assistants and search engines direct questions instead of clicking through pages of blue links. If a brand is not present in those AI answers, it is invisible at the very start of the buying journey. The client risked being left out of these moments even though its products were a strong fit for the questions being asked.

A technical audience is hard to reach:

The client’s buyers use precise language and search for very specific problems, like invoice automation for PeopleSoft or ways to query ERP data with AI. Generic marketing does not work here. The content had to speak the buyer’s language and answer the exact questions they type.

Marketing and CRM had to run as one system:

Marketing, sales, and content need to share the same view of a contact, a company, and a deal. Without that, leads fall through the cracks and no one can prove what marketing delivered. The CRM also needed constant care: clean data, clear segments, and reliable reporting.

Results had to be measurable:

The client needed to see the full path a buyer takes, from first search to booked meeting, so it could invest in what works and drop what does not.

Our Strategies

TRooInbound built an ongoing program that covers the full digital function, not a list of one-off tasks.

  • Own the full digital marketing function: We run SEO, website content, landing pages, and content writing as a continuous program, so the client’s presence keeps growing month after month.
  • Target the right accounts with ABM: The client sells to a narrow, high-value audience, so we run account-based marketing to focus effort on the specific companies and roles that matter most, instead of casting a wide net. This keeps spend and messaging aimed at the accounts most likely to buy.
  • Run HubSpot end-to-end: We manage email marketing, forms, CTAs, segments, events, and meetings inside one connected platform, so every touchpoint works together.
  • Keep the CRM clean and reliable: We handle contacts and company structure, data cleanup, and clear segments, so the sales team always works from trustworthy data.
  • Keep on building a strong SEO base: AI answers pull from content that search engines already trust, so we kept strengthening the SEO foundation around the niche-relevant AI topics their buyers care about.
  • Add AEO as search evolves: We treated Answer Engine Optimization as a first-class goal. We studied the real questions the client’s buyers ask AI tools, then shaped content and site structure so the client would be a clear, quotable source for those answers.
  • Make everything measurable: We built marketing analytics so the client can see what drives traffic, leads, and meetings, and act on real numbers.

Our Planned Solutions

1. A three-year, end-to-end partnership:

TRooInbound acts as the client’s full digital marketing and HubSpot team, covering SEO, content, landing pages, email, CRM, and reporting, so the client gets one accountable partner instead of many scattered vendors.

2. AI search visibility (AEO) that puts the client in the answer:

We earned the client a place in Google’s AI Overviews for buying questions that map directly to its products.

For instance, the client now appears for questions like

  • “What is the best AI invoice automation for PeopleSoft?”
  • “Which AI tool lets users ask questions across PeopleSoft data?”

These are high-intent questions asked by people with a real problem the client solves.

Our Strategies - End-to-End Digital Marketing

3. SEO and content built around real buyer questions:

We aligned the client’s content and on-page SEO to the exact topics its buyers research, so the brand shows up in both traditional search and AI-generated answers.

4. Account-based marketing (ABM) for a niche audience:

Because the client sells to a small set of high-value accounts, we built ABM into the program, targeting the specific industries, companies, and roles that fit best. Using HubSpot lists and segments, we focus content, email, and outreach on those accounts so effort goes where it counts.

5. A connected HubSpot platform:

Using HubSpot Smart CRM with the Marketing, Sales, and Content Hub Professional, we brought the client’s contacts, companies, forms, CTAs, email, segments, events, and meetings into one system. Marketing and sales share the same single source of truth.

6. Ongoing CRM management and data hygiene:

We keep the CRM clean and current with regular data cleanup, clear segments, and reliable reporting, so no lead slips through the cracks.

7. Analytics that show the full picture:

With marketing analytics in place, the client can follow the buyer journey from first touch to booked meeting and make decisions based on evidence, not guesswork.

The Result

The client’s AI visibility has improved, especially for the questions that matter most to its business. Its search presence and content now speak directly to a technical audience in the language that audience uses.

On the operations side, marketing, sales, and content run as one system inside HubSpot instead of a set of disconnected tools. Lead capture, follow-up, and meeting booking all connect, so fewer opportunities slip away. Clean CRM data and full-funnel analytics mean the client can see which efforts turn into pipeline.

Most telling of all, this is a partnership measured in years. For more than three years, the client has trusted TRooInbound as its end-to-end digital marketing and HubSpot partner, and the program keeps growing, most recently into AEO and AI visibility.

In short, TRooInbound gives the client one partner for modern demand generation, built for how B2B buyers actually search today, backed by a clean HubSpot foundation that turns attention into real sales conversations.
