Client Overview

MoTek Insurance is a health, Medicare, and life insurance brokerage based in Auburn, California. It helps employer groups increase benefits while decreasing premiums through Fully Funded, Level Funded, Self-Funded, and Minimal Essential Coverage plans, alongside Individual & Family and Medicare products.

Client servicing currently runs on AgencyBloc, and MoTek is redesigning its outbound growth engine around an AI decision layer it calls MoTek Brain, intended to govern outbound and client-servicing actions with HubSpot as the underlying system of record.

Their Challenges

Their Challenges

MoTek came to us with an outreach and servicing concept, MoTek Brain, but without the concrete architecture, tooling, or migration plan needed to bring it to life.

  • Concept without architecture: MoTek Brain existed as an intelligence-first vision without the system design or tooling to run it
  • Fragmented servicing data: Client history, policy details, and compliance context lived in AgencyBloc, with no plan for moving them into HubSpot without disrupting servicing
  • No enrichment pipeline: Outbound targeting had no automated way to identify, score, or verify the right employer accounts and contacts
  • Compliance exposure: Insurance outreach requires broker-of-record framing, message-level quality control, and a defined chain of approvals, none of which existed yet
  • No handoff discipline: Nothing connected sales conversion to service onboarding, so context on a new client risked getting lost at handoff

Our Strategies

Our Strategies

We approached MoTek Brain as a feasibility assessment first, then translated it into a phased, governed Statement of Work.

Assess and architect
We evaluated MoTek’s AI-decision concept for feasibility and positioned HubSpot as the system of record, with MoTek Brain as the governing intelligence layer above it, approving or suppressing every outreach, sales, and service action by timing, context, and compliance.

Build, enrich and migrate
From that architecture, we planned a three-phase build: data and enrichment, relationship warming, and conversion and service handoff, alongside a phased AgencyBloc migration built on a no data loss, workflow parity first principle.

Govern and scale
Every phase was wrapped in compliance and governance controls, quality scoring, suppression logic, audit trails, and a no-override rule, so the system can scale without losing control of message quality or compliance risk.

Our Planned Solutions

Strategic architecture

HubSpot positioned as the system of record, with MoTek Brain as the governing system of intelligence, approving or suppressing outreach, sales, and service actions by timing, context, and compliance

A concrete build plan replacing MoTek’s fragmented, intelligence-first but tooling-light vision

Phase 1: data, targeting and enrichment

  • Clay.com as the lead enrichment and qualification engine
  • PhantomBuster repositioned as a relationship-warming tool rather than a scraping tool
  • Clearbit as a data validation backstop
  • A defined ICP, 20 to 100-plus employee US employers across 50-plus priority sectors, with hard-gated rejection of non-fits

Phase 2: relationship warming and outreach

  • A mandatory Pre-Outreach Warming lifecycle stage in HubSpot, gated by a Warmth Score
  • A LinkedIn warming funnel: profile visibility, content interaction, connection, welcome message, run through PhantomBuster
  • Smartlead.ai email across Gmail and Outlook for deliverability
  • All channels governed by defined MoTek Voice Rules: peer-level, non-promotional, no pressure language

Phase 3: conversion, service handoff and intelligence loop

  • Sales Hub Professional capturing structured benefits-engagement data: funding model, ancillary products, compliance risk drivers
  • MoTek Brain approval gates at Sales-Ready, Onboarding and Expansion transitions
  • Service Hub Professional as the onboarding, support and compliance-monitoring engine
  • A fully automated, API-driven Sales-to-Service handoff, auto-creating a ticket with full employer context
  • An anticipated “Mo” chatbot assistant for service reps

Governance and compliance

  • Human-Feel quality scoring on every message, with auto-suppression below threshold
  • Trust-first suppression on negative signals
  • A governed, compliant-language library for broker-of-record framing
  • Hard-gated entry logic and a global kill switch across Smartlead, PhantomBuster and HubSpot
  • Full audit-trail logging: template ID, message score, compliance stamp
  • A no-override rule restricting core scoring and compliance logic to a MoTek-authorised admin group

Implementation rollout

  • Phase 1: foundational build across the roughly 19-platform stack, connected via Make.com
  • Phase 2: AgencyBloc migration under a no data loss, workflow parity before change principle, moving Employer/Group History, Medical & Ancillary Policy Details, Enrollment & Servicing History and Compliance Context/Flags into HubSpot custom objects
  • Phase 3: activation, training, and a continuous-optimisation cadence, weekly performance review, bi-weekly template refresh, quarterly compliance audit

Companion SOW: automated lead enrichment and CRM synchronisation

  • A gated data pipeline: MongoDB dedup check, Neutrino IP verification, Clay firmographic enrichment and preliminary scoring (dropped below 80), Million Verifier website health check, and a Final Company Score gate (proceeds at 85 or above)
  • Contact discovery with a persona-relevance gate, contact verification through Million Verifier, RocketReach and Trestle, a combined ICP score (dropped below 85) and a final validation gate
  • Synchronisation to MongoDB, HubSpot and AgencyBloc (via CSV), running on daily cron automation
  • Delivered as a five-week phased plan: identification, enrichment and scoring, contact discovery and verification, final sync setup, and automation and documentation
  • Defined success criteria: 100% synced records at ICP 85 or above, a full pass rate through the verification waterfall, and zero duplication

The Result

MoTek Insurance now has a concrete, buildable architecture in place of an intelligence-first but tooling-light concept. HubSpot is positioned as the system of record, with MoTek Brain defined as the governing decision layer above it, approving or suppressing every outreach, sales and service action by timing, context and compliance.

The final SOW gives MoTek a phased path from enrichment and relationship warming through conversion, service handoff and a continuous-optimisation cadence, all wrapped in governance controls: quality scoring, suppression logic, a global kill switch and a no-override rule protecting core compliance logic.

Alongside the core build, MoTek also has a companion automated lead-enrichment and CRM synchronisation system fully specified, a gated, five-week pipeline from identification through automation and documentation, with clear success criteria for sync accuracy, verification pass rate and daily processing. Combined with the CRM effort reference of 214 hours across configuration and backend integration, MoTek has both the architecture and the estimate needed to move into build.
