The client is a growing mortgage and lending organization that operates in a competitive and compliance-driven environment. Their business depends heavily on accurate data, seamless communication, and efficient loan processing workflows.
As the company expanded, its existing CRM system began to limit its ability to scale. Teams struggled with fragmented data, disconnected tools, and manual processes that slowed down operations. Sales, operations, and customer support teams were using multiple systems that did not communicate effectively.
They needed a unified platform that could bring all their systems together while improving visibility, automation, and reporting. Their goal was not just to replace their CRM but to build a scalable foundation that could support future growth.
This is where TRooInbound stepped in as their CRM and RevOps partner.
The client faced several operational and technical challenges that were impacting their growth and efficiency.
It lacked flexibility and could not support their evolving workflows. Data was often duplicated, outdated, or inconsistent. This made it difficult for teams to trust the system.
Their loan origination system, communication tools, and lead generation platforms were all working in silos. This created delays in data flow and required manual intervention at multiple stages.
This not only reduced productivity but also increased the chances of errors.
The leadership team lacked access to real-time insights. They could not easily track performance, identify bottlenecks, or make data-driven decisions.
This made navigation difficult and slowed down user adoption.
Additionally, the client also needed a way to generate external documents in PDF format directly from their CRM. Their existing setup did not support this, which led to additional manual work and inefficiencies.
Overall, they needed a solution that could simplify their processes, improve data accuracy, and provide a unified view of their operations.
TRooInbound approached the project with a clear focus on building a clean, scalable, and integrated CRM ecosystem.
Making a detailed audit of the existing CRM and workflows. This helped identify redundant properties, broken processes, and data inconsistencies. Based on this analysis, a structured migration plan was created.
Instead of migrating everything as it is, the team focused on optimizing the data model. Only the necessary HubSpot properties were created. Wherever possible, existing properties were reused. This approach reduced duplication and minimized migration complexity.
The migration from Relcu to HubSpot was executed in phases. Data was cleaned, mapped, and validated before being moved. This ensured high data accuracy and reduced the risk of errors.
TRooInbound implemented HubSpot CRM with customized pipelines and object structures. Record views were tailored to match the needs of different teams. This made it easier for users to access relevant information quickly.
A key part of the project was integrating multiple systems into HubSpot:
Custom dashboards and reports were created to provide real-time visibility into key metrics. Leadership teams could now track performance, monitor pipelines, and make informed decisions.
